Event production Manager
(Fall/winter 2025 season)
SoCo Women’s Chorus is seeking a highly organized, collaborative, and resourceful Event Production Manager for our Fall 2025 concert cycle. This contract position is ideal for someone who thrives behind the scenes and enjoys ensuring that live events run smoothly, joyfully, and professionally.
About the Role:
Season Runs: September 1, 2025 to December 14, 2025
Main Concert Weekend: December 13–14, 2025
Concert Venue: First Austin Church in downtown Austin
Rehearsal Venue: St. Martin’s Lutheran Church in downtown Austin
This part-time, contract role requires a flexible, can-do attitude, especially during the month leading up to the concert and the concert weekend itself. Planning work occurs throughout the fall in coordination with our artistic and leadership teams.
Strong performance in this role may lead to rehiring for our Spring 2026 season (concert weekend: May 2-3) and could grow into a larger leadership role, such as Chorus Manager, depending on future organizational needs and interest.
Responsibilities Include (detailed responsibilities listed below):
Coordinating all production logistics for rehearsals and the performance, including staging, equipment, timelines, and budget tracking
Managing venue and vendor relationships (e.g., sound, lighting, risers)
Leading production meetings and creating run-of-show documents
Overseeing tech setup and strike, and troubleshooting during rehearsals and the concert
Recruiting and coordinating volunteers for backstage and front-of-house roles
Supporting ticketing, signage, lobby logistics, and audience experience
Serving as primary onsite production lead during concert weekend
Compensation:
Flat fee for fall season: $2,000
Reflects approx. 45–60 hours total, with heavier commitment during the production month and concert weekend.

DETAILED RESPONSIBILITIES
1. Production Planning & Coordination
Collaborate with the Artistic Director to develop comprehensive production plans, including staging requirements, equipment needs, production timelines, and overall logistics strategy.
Lead production planning meetings with staff and committees to ensure alignment on logistics, timelines, and production goals.
Coordinate production schedules and develop a detailed run-of-show.
Ensure adherence to production budget. Track and submit production expenses and receipts.
Maintain detailed documentation and checklists for future planning.
2. Venue & Vendor Management
Collaborate with venues and vendors during the planning phase to confirm technical requirements, space usage policies, and logistical needs for execution. Integrate these into production timelines and plans.
Secure and manage venue contracts; clarify and communicate all technical and logistical requirements as needed (in place of a formal tech rider).
Collect and track any required documentation from vendors, including Certificates of Insurance (COIs) listing SoCo Women’s Chorus as an additional insured when applicable.
Coordinate all required vendor relationships for the show, including sound, lighting, risers, piano movers, ASL services, and guest artists or musicians. Collect multiple bids, facilitate vendor selection and then manage contracts or agreements.
Serve as the main point of contact for all external service providers and musicians.
Troubleshoot vendor or venue issues during technical rehearsals and performances.
3. Tech Rehearsal & Concert Execution
Oversee venue access and manage open/close procedures.
Set up and break down risers, music stands, and technical equipment (with volunteers or crew).
Troubleshoot and resolve technical issues during set-up, rehearsals, and performances.
Ensure transitions and stage movements are well-coordinated.
Ensure proper storage, maintenance, and inventory of all production equipment.
4. Volunteer Coordination
Assess volunteer staffing needs across all functional areas (Front of House [FOH], backstage, tech, setup, etc.) for concert weekend.
Collaborate with committee chairs to recruit, assign, and train volunteers.
Ensure all volunteer roles are clearly communicated and adequately supported.
5. Front of House & Ticketing
Manage ticketing logistics for pre-sale and at-door sales.
Recruit and train FOH volunteers, including ushers and ticket takers.
Oversee front-of-house operations during performances including coordination with Reception and Silent Auction teams.
Ensure proper FOH signage and manage audience flow to ensure a smooth and welcoming experience.
Oversee lobby and reception logistics during performances.
6. Communication & Liaison Duties
Maintain clear, proactive communication with the assigned point of contact.
Provide production updates to staff and volunteers as needed.
